Creating and Managing Assignment Modules | Org Admin Guide

Create assignment modules, review learner submissions, provide feedback, and track completion — all within the platform

Overview

The Assignments feature in the Rockstar Learning Platform allows organizations to create assignment-based learning activities that support document submission, instructor feedback, revisions, and completion tracking directly within the platform.

Assignments are designed to support workflows such as:

  • Learners submitting assignment documents
  • Instructors reviewing and providing feedback
  • Learners revising and resubmitting assignments
  • Admins and instructors tracking assignment progress and completion
  • Reporting on learner submissions and feedback activity

This feature replaces manual workflows commonly managed through external systems such as SharePoint by centralizing assignment submission and feedback directly within the learning platform.

Assignment Roles and Permissions

Full Admin

Full Admins can:

  • Create assignment modules
  • Add assignments to courses and channels
  • View all assignment reports
  • Review learner submissions
  • Provide feedback
  • Mark assignments complete
  • Export and schedule reports
  • Send learner messages
  • Batch mark assignments complete

Assignment reports are available by default under:

Admin → Reports → Assignments

Enterprise and Office Admins

Enterprise and Office Admins can:

  • Access assignment reports for learners within their assigned enterprise or office
  • Review submissions
  • Provide feedback
  • Mark assignments complete
  • Export reports
  • Send messages to learners

Instructor User Type

A dedicated Instructor user type is available for assignment management.

Instructor Requirements

An Instructor must belong to an:

  • Instructor learner group

This learner group determines which assignments and learners the instructor can access.

Instructor Permissions

Instructors can:

  • View assignment submissions assigned to their instructor learner group
  • Review learner submissions
  • Return assignments for revision
  • Mark assignments complete
  • Export reports
  • Send learner notifications and messages

Creating an Assignment Module

Assignments are created as a new module type.

To Create an Assignment

  1. Navigate to the course editor.
  2. Add a new module.
  3. Select Assignment as the module type.
  4. Enter the assignment title.
  5. Configure assignment instructions.
  6. Save the module.

Assignment Instructions

When an Assignment module is added, an Instructions field becomes available.

Default Instructions

The following text is automatically added by default:

Please upload your assignment by clicking the “Upload” button below. Ensure your file is in the correct format and follows all submission guidelines. Once your file is selected, click “Submit” to complete the process.

Admins can fully edit or replace this text.

Adding Assignments to Courses, Channels, and Subscriptions

Assignments can be added to:

  • Courses
  • Channels
  • Publisher/Subscriber subscriptions

Virtual Copy Support

Assignments support virtual copies.

When creating a virtual copy:

  • Assignment configuration is copied
  • Instructions are copied
  • Learner submissions are NOT copied

Learner Experience

Assignments Dashboard Tab

A new Assignments tab appears on the learner dashboard.

The tab is only visible when the learner has access to at least one assignment.

The Assignments tab contains:

  • New Feedback
  • All Assignments

New Feedback Section

The New Feedback section:

  • Only appears when feedback requiring learner action exists
  • Displays assignments where instructors provided feedback and the learner has not yet responded
  • Displays a notification icon on assignment cards
  • Expands feedback details on mouse hover

All Assignments Section

The All Assignments section:

  • Displays all available assignments
  • Includes assignments with:
  • New submissions
  • Completed submissions
  • Resubmissions
  • Displays 8 assignments per page
  • Supports pagination

Learner Assignment Submission Workflow

Supported Upload Types

Learners can upload most standard document formats including:

  • Microsoft Word
  • PowerPoint
  • Excel
  • PDF
  • Image files
  • Other supported document formats

Code files are not supported.

Submitting an Assignment

To submit an assignment:

  1. Open the assignment module.
  2. Select a file using the Upload button.
  3. Click Submit.

After submission, learners can:

  • Download previously submitted files
  • Upload revised versions
  • View instructor feedback

Assignment Statuses

Assignments can display the following statuses:

  • Not Started
  • Submitted
  • Returned for Revision
  • Completed

Instructor Feedback Workflow

Reviewing Submissions

Instructors and admins review assignments through:

Admin → Reports → Assignments

Assignment reporting includes:

  • New Submissions
  • All Modules
  • All Users

New Submissions Tab

The New Submissions tab displays:

  • Assignments with learner submissions requiring review

All Modules Tab

The All Modules tab displays:

  • Assignments with no pending submissions
  • Assignments where feedback was already provided
  • Existing assignment modules

All Users Tab

The All Users tab displays:

  • Users who have access to assignments with no new submissions

Selecting a user opens a detailed assignment user view.

Module Report View

Selecting an assignment module opens a detailed module report view.

Instructors and admins can:

  • Review learner statuses
  • Mark individual learners complete
  • Mark all learners complete
  • Export reports
  • Schedule report exports

Detailed Learner View

Selecting a learner record opens the detailed assignment view.

The detailed view includes:

  • Submission history
  • Uploaded learner documents
  • Instructor feedback
  • Uploaded instructor feedback files
  • Status history
  • Submission dates
  • Completion history

Returning Assignments for Revision

Instructors can:

  • Download learner submissions
  • Add comments
  • Upload feedback documents
  • Return assignments for revision

Feedback Requirements

To return an assignment for revision:

  • A comment OR
  • A feedback document

is required.

If neither is provided, the Return for Revision button remains disabled.

Completing Assignments

Assignments can be marked complete by:

  • Instructors
  • Full Admins
  • Enterprise Admins
  • Office Admins

Assignments can be marked complete from:

  • Module reports
  • Detailed learner views
  • Batch uploads

Batch Completion Updates

Admins can mark assignments complete using batch upload functionality.

Recurring Enrollment Reset Behavior

If recurring enrollment resets an assignment:

  • Assignment status resets to incomplete
  • Detailed history displays a “status reset” entry

Notifications

Feedback Notifications

When instructors provide feedback:

  • Email notifications are sent
  • In-app notifications are sent

Completion Notifications

When an assignment is marked complete:

  • Email notifications are sent
  • In-app notifications are sent

Daily Submission Summary Emails

If new submissions exist, instructors receive a daily summary email:

  • Sent at 4:00 PM in the instructor’s time zone
  • Includes submissions from:
  • The current day
  • After 4:00 PM of the previous day

Messaging Learners

Instructors and admins can send:

  • In-app messages
  • Emails

from assignment reporting views.

Default Messaging Behavior

By default:

  • All accessible learners are selected
  • Both email and in-app messaging are enabled

Admins and instructors can:

  • Disable email delivery
  • Disable in-app delivery
  • Send one or both message types

Reporting and Exports

Assignment Module Reports

Module reports can be:

  • Exported immediately
  • Scheduled for delivery

User Assignment Reports

User reports can also be exported or scheduled.

Detailed Learner Export Reports

Detailed learner reports can be exported from the learner detail view.

Localization Support

Assignment notifications support all platform-supported languages.

Localized content includes:

  • Email notifications
  • In-app notifications
  • Daily summary emails

Best Practices

To ensure a successful assignment workflow:

For Admins

  • Clearly define assignment instructions
  • Use instructor learner groups to manage access
  • Regularly review New Submissions
  • Use scheduled reports for ongoing tracking
  • Encourage instructors to provide actionable feedback

For Instructors

  • Provide clear revision guidance
  • Use attachments when detailed markup is required
  • Mark assignments complete promptly
  • Review daily submission summaries consistently

Current Workflow Example

The Assignments feature is designed to streamline workflows similar to the following:
