Learner Materials in Roleplay

Learn how to attach files like account briefs and product one-pagers to a Roleplay environment, so learners can download them and prepare before they start a session.

Before a real customer conversation, a rep usually has something in hand: an account brief, a product one-pager, a pricing sheet. Learner Materials gives a Roleplay environment the same thing. Authors attach files to the environment, and learners download them from the environment's preview before they begin practicing.

Add Learner Materials to an Environment

  1. Open the environment in the editor. A published environment is read-only, so unpublish it first if needed.
  2. In the materials area of the editor, select the Learner Materials tab, next to Introduction Video.
  3. Drag files onto the upload area, or click it to browse. You can add several files at once.
  4. Publish the environment. Learners see the materials the next time they open it.

Supported files
File type Extensions
PDF .pdf
Word .docx
PowerPoint .pptx
Images .png, .jpg, .jpeg
Text .txt, .md

Each environment can hold up to 5 files, up to 20 MB each. If a file is the wrong type or too large, the editor tells you and the file isn't added.

Manage Your Files

Every file in the Learner Materials tab can be managed from the editor:

  • Rename - click the file name and type a new one. Learners see this name, so make it descriptive, for example "Acme Corp - Account Brief" rather than "brief_v3_final".
  • Reorder - drag a file by its handle. Learners see files in the same order.
  • Preview - open PDFs, images, and text files in the editor to check them. Word and PowerPoint files download instead.
  • Delete - remove a file. You're asked to confirm first, and learners can no longer download it.

What Learners See

When an environment has Learner Materials, learners see a Learner Materials list on the environment's preview, before they start the session. Each file shows its name and an icon for its type, and one click downloads it with its original content.

  • Prepare first. Materials are meant to be read before the session, the same way a rep would review a brief before a call. Learners should download what they need before they click Begin Session.
  • Available on mobile too. The list also appears on the environment's details on a phone.
  • Nothing to show, nothing shown. Environments without materials look exactly as they do today.

Who Can Download the Files

Files are only available to learners who have access to the environment. Each download uses a temporary link that expires shortly after it's created, so a copied or forwarded link won't open the file for someone else. Every new download creates a fresh link.

Keep in mind that once a learner has downloaded a file, it's on their device. Don't attach anything learners shouldn't keep.

Learner Materials vs. Source Material

Roleplay has two places to upload files, and they do different jobs:

  • Source material is for the AI. When you create an environment with AI-Assisted Authoring, the documents you upload shape the scenario, the AI character, and the goals. Learners never see them. See Building and Iterating on Roleplay Environments.
  • Learner Materials are for learners. The AI character doesn't read them. They're there so learners can prepare.

If a document should inform both the AI character and the learner, such as a product one-pager, upload it in both places.
