Assignment Notifications

This guide will show you how to use and customize Assignment notifications. To do so, complete the following.

 

  • Begin in the Assignment you would like to manage notifications for.

  • Under Email Notifications, the default is notifications enabled. To disable completely, uncheck the box next to Enabled.

  • If enabled, begin to choose which email notifications you would like to go out, if optional and customize the message.

 

Learner Notifications

  • The first email notification is at the start of the assignment. You may flag this on or off using the checkbox.

  • Then, you may customize your message by clicking on the word bubble on the right.

  • Write your text in the modal window, then click Done Editing when finished.

  • The second email notification(s) is in progress notifications. These will periodically remind the Learners to finish their Assignment if they have not completed each Scenario yet. You may flag this on or off using the checkbox. Then, you may choose the time windows in which they go out using the checkboxes. Choose from 72, 48, 24 and 6 hours before the Assignment is due.

  • Then, you may customize your message by clicking on the word bubble on the right. 

  • Write your text in the modal window, then click Done Editing when finished.

  • The third email notification is for the end of the Assignment which reminds learners that they may still complete their Scenarios, even though the time frame has ended. These Users will be marked Late. You may flag this on or off using the checkbox. Then, you may customize your message by clicking on the word bubble on the right.

  • Then, you may customize your message by clicking on the word bubble on the right. 

  • Write your text in the modal window, then click Done Editing when finished.

  • The last two notifications are always enabled, which are Mentor Engagement and Mentor Final Review. These notifications let Learners know when they have been prompted for a new response and when they have received their Final Review of their submission.

  • Then, you may customize your message by clicking on the word bubbles on the right. 

  • Write your text in the modal window, then click Done Editing when finished.

 

Mentor Notifications

  • The first notification notifies Mentors when a Learner has submitted a response.

  • The second email notification(s) are notifications that periodically remind the Mentor that they still have responses to submit Final Reviews for. You may flag this on or off using the checkbox. Then, you may choose the time windows in which they go out. Choose from 6, 24, 48 and 72 hours after the Assignment has ended using the checkboxes.

  • Then, you may customize your message by clicking on the word bubbles on the right. 

  • Write your text in the modal window, then click Done Editing when finished. 

Rehearsal Template Variables in Notification Messages

There are 2 template variables available:

  • %%assignment.title%% — gets replaced with the name of the assignment
  • %%scenario.title%% — gets replaced with the name of the scenario

How these Variables Work

When an account admin writes a custom notification message, they can include these variables as placeholders. When the notification is actually sent, the placeholders get swapped out with the real assignment or scenario name.

For example, if the Assignment's title was "Sales Training Q1", a custom message like:

 "Don't forget to finish %%assignment.title%% before the deadline!"

would be delivered as:

 "Don't forget to finish Sales Training Q1 before the deadline!"

If the admin hasn't customized the message (i.e. the default message is still in place), the system ignores the template variables entirely and uses its own built-in text.


Which Notifications Support Which Variables?

These four notification types let admins use the assignment name in a custom message:

  • Assignment started — tells learners a new assignment is available
  • Assignment reminder — periodic reminders before the assignment deadline (e.g. 6 hours, 24 hours, 48 hours, 72 hours, or 1 week before)
  • Assignment ended — tells learners the assignment has ended but they can still submit a late response
  • Mentor feedback reminder — reminds mentors to review learner conversations after the deadline



%%assignment.title%% and %%scenario.title%%

These two notification types let admins use both the assignment name and the scenario name:

  • Response graded — tells a learner their response to a scenario has been reviewed
  • Follow-up requested — tells a learner their mentor wants a follow-up response to a scenario
